To reserve a van, you'll need a valid driver's license, proof of auto insurance, and full payment at the time of booking. A signed Rental Agreement is required to secure your reservation. Vans are reserved on a first-come, first-served basis. If you have questions about what's required before booking, please contact our team and we will be happy to assist.

Yes — all van rentals with U.S. Rental Vans have a 1-day minimum rental period. Depending on the availability, weekend rentals may have a 2-day minimum. Please check with our team to confirm.

All drivers renting a van through U.S. Rental Vans must be at least 21 years old and hold a valid driver's license. Valid international driver's licenses are accepted with proper validation. Additional drivers are permitted — each must present a valid license and insurance prior to pickup, and the primary renter accepts liability for all authorized drivers.

U.S. Rental Vans offers a flexible cancellation policy. Cancellations made 14 or more days before your departure date receive a full refund. Cancellations made fewer than 14 days before departure receive a 50% refund or a full refund credit to be used on a later rental. All rentals may cancel within 24 hours of booking for a full refund. There are no refunds for early returns.

Yes! All passenger vans from U.S. Rental Vans include unlimited mileage. There are no per-mile fees or distance restrictions within the continental United States and Canada.

Yes — U.S. Rental Vans vehicles may not be driven in Mexico, on unpaved or dirt roads, off-road terrain, or under low-clearance obstructions. Vans must remain within the continental United States and Canada. Renters are fully liable for all damages, towing charges, and related expenses resulting from operation in restricted areas.

MILEAGE, GEOGRAPHY, AND TRAVEL

Renters must provide proof of full coverage auto insurance. Most personal and commercial auto insurance carriers cover passenger van rentals — we recommend checking with your provider before booking. If you prefer not to use your own policy, we offer three on-site coverage options: Collision Damage Waiver (CDW) for $30/day, Full Coverage for $60/day, or Premium Full Coverage for $75/day.

CDW covers up to $35,000 of damage to the rental vehicle resulting from a collision with another vehicle, with a $1,000 deductible per incident. CDW does not cover: glass damage, unauthorized drivers, driving under the influence, criminal activity, towing or racing, unpaved or off-road driving, travel outside the U.S. or Canada, transporting hazardous materials, exceeding passenger capacity, willful misconduct, or failure to report an accident within 3 hours.

Renters are responsible for all damage to the vehicle regardless of fault. This includes cost of repairs, loss of use during the repair period, road damage such as blowouts or tire punctures, missing equipment, damage-related fees, and theft or vandalism. All accidents and damage must be reported to U.S. Rental Vans within 3 hours of occurrence.

Yes! All of our vans come with a lockbox so after-hours pickup and drop-off is available at both our Nashville and Atlanta locations. After-hours arrangements are scheduled at booking and confirmed in your Rental Agreement.

PICK UP, DROP OFF, AND PARKING

Contact us immediately if you experience any mechanical issue. Our team will work to get you back on the road as quickly as possible.
For 24/7 emergency roadside assistance — including flat tires, lockouts, and fuel — contact our partner Discount Tire at (844) 552-0611, available nationwide. Renters are responsible for checking fluid levels at each refueling stop and may be held liable for mechanical damage caused by negligence.

Yes — towing is permitted on all U.S. Rental Vans passenger vans. Every van in our fleet is equipped with a 2" receiver hitch and a 4-pin trailer harness connection. We do not supply ball mounts or 4-pin to 7-pin adapters, but you're welcome to bring your own. All hitch-mounted items — including ball mounts, trailers, bike racks, and cargo carriers — must be properly secured before departure.

U.S. Rental Vans partners with Global Toll Services (GTS) to process toll charges. Renters are responsible for each toll cost plus an administrative fee per day on which tolls are incurred. Charges are billed to the card on file within 7 days of your rental's completion. You may pay cash at toll booths that accept it to avoid the administrative fee.
DURING YOUR RENTAL

All vans must be returned with a full tank of fuel. If the tank is below full at return, a refueling fee will be charged to the card on file. All fuel costs during your rental are the renter's responsibility.

Vans must be returned in clean condition with normal dirt and debris to be expected. Standard interior and exterior cleaning between rentals is handled by our team. Vans requiring special cleaning — such as fumigation for smoking violations, excessive dirt or sand, or heavily soiled interiors or exteriors — are subject to an additional $300 cleaning fee at our discretion.

U.S. Rental Vans enforces a strict no-smoking policy across our entire fleet in Nashville and Atlanta. Any evidence of smoking will result in a minimum $500 fee plus a vehicle diminution charge. This policy applies to all occupants for the full duration of the rental.
